Welcome to LIFE Run Club LLC (“LIFE Run Club,” “we,” “us,” or “the Club”). These Terms, Conditions & Policies are intended to help provide a safe, positive, and enjoyable experience for all participants and families.
By registering a child for LIFE Run Club, the parent or legal guardian agrees to these Terms, Conditions & Policies, in addition to completing the Club’s Youth Participation Agreement, Assumption of Risk & Parent/Guardian Consent.
1. Program Overview
LIFE Run Club is a youth recreational running and fitness program designed to encourage children to be active, build confidence, develop healthy habits, and have fun through running, walking, games, drills, fitness activities, and related recreational activities.
LIFE Run Club primarily serves children ages 5–12.
Club sessions are held at the Willow Bay area of Onondaga Lake Park, unless families are notified of a different meeting location.
Activities take place outdoors and may use trails, grass, pavement, fields, paths, and other areas within the park.
2. Parent/Guardian Responsibilities
Parents and guardians play an important role in helping LIFE Run Club provide a safe and enjoyable environment.
By registering a child, the parent or guardian agrees to:
- Provide accurate registration, emergency contact, allergy, medical, and activity restriction information.
- Inform LIFE Run Club of any condition, injury, circumstance, accommodation, or special need that may affect the child’s ability to safely participate.
- Determine that the child is physically capable of participating in the activities offered by LIFE Run Club.
- Ensure the child arrives appropriately dressed for running, outdoor activity, and current weather conditions.
- Ensure the child brings a water bottle to each session.
- Follow the Club’s drop-off and pick-up procedures and arrive promptly for both.
- Identify authorized individuals who may pick up the child when applicable.
- Discuss the Club’s safety and behavior expectations with the child.
- Keep contact and emergency contact information current.
- Be reasonably reachable during Club sessions in the event of an emergency, illness, weather event, behavioral issue, or other circumstance requiring parent/guardian involvement.
Parents or guardians should notify LIFE Run Club before a session if circumstances have changed that could affect their child’s safe participation.
3. Participant Responsibilities & Behavior
Participants are expected to help create a safe, supportive, and respectful environment.
Children are expected to:
- Stay with their assigned group and within designated activity areas.
- Follow instructions provided by LIFE Run Club coaches, staff, and volunteers.
- Treat other participants, coaches, volunteers, park users, and property respectfully.
- Tell a coach or volunteer if they are hurt, feel sick, become excessively tired, need water, or otherwise need assistance.
- Avoid intentionally dangerous, disruptive, aggressive, bullying, or inappropriate behavior.
LIFE Run Club reserves the right to contact a parent or guardian and require a child to be picked up if the child’s behavior creates a safety concern or significantly interferes with the program.
For repeated or serious behavioral or safety concerns, LIFE Run Club may suspend or discontinue a child’s participation. Any refund under those circumstances will be determined based on the particular situation and the Club’s refund policies.
4. Supervision
LIFE Run Club will provide adult supervision during scheduled Club activities.
Because LIFE Run Club involves group recreational activities in an open public park, multiple children may be participating in activities simultaneously. Continuous one-on-one supervision of individual participants is not provided or guaranteed.
Children are expected to remain with their assigned group, follow Club boundaries, and follow instructions from coaches and volunteers.
5. Drop-Off & Pick-Up
Parents and guardians are responsible for ensuring that children are properly dropped off and picked up.
Children should not be dropped off substantially before the scheduled session unless prior arrangements have been made with LIFE Run Club.
At the conclusion of the session, children will only be released according to the Club’s established pick-up procedures and registration information.
Parents should arrive promptly at the scheduled end of each session.
6. Health, Injuries & Emergency Care
Participation in running, exercise, outdoor recreation, games, and children’s athletic activities involves inherent risks.
These may include trips, slips and falls; uneven surfaces; collisions; cuts and bruises; strains and sprains; fatigue; dehydration; heat or cold exposure; insect bites or stings; and other injuries or illnesses associated with physical activity and outdoor recreation.
Parents and guardians are responsible for determining whether their child is physically capable of participating and for informing LIFE Run Club of relevant medical conditions, allergies, restrictions, or special circumstances.
If a child becomes injured or ill, LIFE Run Club may provide basic first aid, contact the child’s parent/guardian or emergency contact, and seek emergency medical assistance when Club staff reasonably believe it is necessary.
The parent or guardian remains responsible for medical expenses associated with the participant.
7. Water & Hydration
Each participant should bring a filled, clearly labeled water bottle to every LIFE Run Club session.
Running and outdoor physical activity can increase hydration needs, particularly during warm weather. Coaches will provide opportunities for water breaks as appropriate during activities.
Parents should make sure children arrive adequately hydrated and have enough water for the scheduled session.
8. Weather & Inclement Weather
Because LIFE Run Club activities are held outdoors, weather conditions may require sessions to be modified, postponed, relocated within the park, or canceled.
LIFE Run Club will monitor weather conditions and forecasts before scheduled sessions.
When thunderstorms, lightning, severe weather, or other potentially unsafe conditions are forecast during the scheduled Club period, LIFE Run Club may cancel the session. Parents will be notified as soon as reasonably possible using the contact method(s) used by the Club.
Weather can change quickly. If a thunderstorm, lightning, or other potentially dangerous weather condition develops unexpectedly while a session is underway, LIFE Run Club will stop outdoor activities and seek appropriate shelter as quickly as reasonably possible. Parents may be contacted and asked to pick up their children early when conditions warrant.
Sessions may also be modified or canceled because of excessive heat, poor air quality, hazardous park conditions, or other circumstances that LIFE Run Club determines could affect participant safety.
Safety will take priority over completing a scheduled session.
9. Weather-Related Cancellations
When LIFE Run Club cancels a session because of weather or other conditions outside of the Club’s reasonable control, the Club will make reasonable efforts to communicate whether the session will be rescheduled or whether another accommodation will be provided.
Because outdoor programs are inherently subject to weather conditions, weather-related cancellations do not automatically entitle participants to a cash refund.
10. Registration Cancellations & Refunds
We understand that family schedules and circumstances can change.
Before the Session Begins
A registration may be canceled before the first scheduled meeting of the registered session for a refund of registration fees paid.
After the Session Begins
If a participant withdraws after the session has begun, the refund will be calculated based on the remaining scheduled weeks of the session.
A $20 administrative fee will then be deducted from the prorated refund amount.
For example, if 50% of the registered session remains when the cancellation becomes effective, the participant would be eligible for 50% of the applicable registration fee, less the $20 administrative fee.
Refunds will not exceed the amount originally paid.
The cancellation becomes effective when LIFE Run Club receives the cancellation request.
11. Missed Sessions
Refunds or credits are generally not provided when an individual participant misses a scheduled Club meeting because of vacation, illness, scheduling conflicts, transportation issues, or other personal circumstances.
Families who need to withdraw from the remainder of a session may use the cancellation process described above.
12. Program Changes
LIFE Run Club may make reasonable changes to schedules, activities, coaches, meeting areas, group assignments, or other program details when necessary for safety, weather, park availability, participation levels, or effective operation of the Club.
Families will be notified of significant changes when reasonably possible.
13. Personal Property
Participants should avoid bringing unnecessary valuables to LIFE Run Club.
LIFE Run Club is not responsible for water bottles, clothing, electronic devices, sporting equipment, or other personal property that is lost, misplaced, stolen, or damaged during Club activities, except as otherwise required by law.
14. Photography & Media
LIFE Run Club may occasionally take photographs or videos during Club activities for Club communications, its website, social media, newsletters, promotional materials, or similar purposes.
A child’s image will only be used consistent with the photography/media permission selected by the parent or guardian during registration or on the applicable consent form.
LIFE Run Club will make reasonable efforts to honor those selections.
15. Assumption of Risk & Participant Waiver
Registration for LIFE Run Club does not replace the required Youth Participation Agreement, Assumption of Risk & Parent/Guardian Consent.
A completed waiver and consent form must be on file for each participant before participation.
The waiver contains important information concerning the inherent risks of running, fitness activities, outdoor recreation, emergency medical authorization, supervision, and other participant responsibilities.
If there is a conflict between general information contained on this website and the executed participant waiver concerning assumption of risk, consent, or release provisions, the executed waiver will control to the extent permitted by applicable law.
16. Concerns & Dispute Resolution
LIFE Run Club wants families to raise concerns promptly so that we have an opportunity to address them.
If a parent or guardian has a concern regarding registration, payment, refunds, coaching, participant treatment, safety, or another Club matter, the parent or guardian should first contact the Club President using the contact information below.
The parties agree to make a good-faith effort to resolve the issue informally through direct communication.
If the matter cannot be resolved informally, the parties agree to attempt to resolve the dispute through non-binding mediation before initiating litigation, unless emergency relief or another remedy is required or this requirement is prohibited by applicable law.
Unless otherwise agreed, mediation will take place in Onondaga County, New York.
These Terms and any dispute relating to participation in LIFE Run Club will be governed by the laws of the State of New York, without regard to conflict-of-law principles.
Nothing in these Terms is intended to waive any legal right that cannot lawfully be waived.
17. Changes to These Policies
LIFE Run Club may periodically update these Terms, Conditions & Policies as the Club grows or its programs change.
The current version will be posted on the LIFE Run Club website with its effective date. Material changes affecting an already-purchased session will be communicated to registered families when appropriate.
